Beyond a simple list of signers
Most documents are straightforward: you know who needs to sign, you add their email, they sign. But a lot of important paperwork does not fit that mould. A statutory declaration or a deed may need a witness. A contract may be going to a company where you only have a general contact, not the name of the director who will actually put pen to paper.
AirSign supports two recipient roles built for exactly these situations: e-witnessing and nominated recipients.
E-witnessing: get documents witnessed without the paper shuffle
When a document needs a witness, AirSign lets you attach one to a signer. The witness signs after the person they are witnessing, and their details are captured alongside the signature - so the completed document shows who witnessed what, and when.
Witness in person
If the witness is in the room, they can sign on the spot, right after the signer, on the same device. No printing, no separate trip.
Witness remotely
If the witness is elsewhere, they get their own secure link by email and witness from wherever they are.
It is a natural fit for legal documents, HR paperwork and property forms - anywhere a witnessed signature is expected.
Nominated recipients: when you do not know who will sign
Often you need a document signed by "whoever is authorised at the other organisation" - the director, the practice manager, the responsible officer - but you only have a general contact. A nominated recipient solves this.
You send to the contact you do have, and they nominate the right person to actually sign. The nominated signer's details are collected at signing time, then the document routes to them - the same parent-child flow that makes witnessing work. You do not have to know the final signer up front, and you do not have to restart the document when you find out who it is.
A quick example
You are sending a service agreement to a supplier. You email it to your usual contact in their office. They open it, nominate their operations director as the person who should sign, and the agreement is passed straight to the director to complete - no back-and-forth to dig up the right email address first.
Same security, fuller record
Both roles plug into the same secure signing process as every other AirSign recipient. Each person signs through their own link, and the completed document carries a full audit trail showing the signer, the witness or nominee, and the order and timing of every action.
